As of 1st of February 2022, Connecting to eduroam via your UW NetID and password has been switched off and replaced with certificate-based authentication.

The Wi-Fi Access for visitors page will allow you to create either a shared temporary Wi-Fi or a personal temporary Wifi Access.

Access to non-public areas of the UW Tower is strictly controlled. All guests, visitors and vendors must check in the days security guest list either via Visitor Management or check-in sheet and must present valid picture ID. Authorized department staff should send the names of their visitors to UW Tower Security at secdesk@uw.edu or check them in on Visitor Management. If a floor has been designated restricted access, visitors must be escorted from the lobby to the floor by the authorized staff they are visiting.

UW employees and others assigned to work in the Tower, including temporarily, must have their access authorized by the Access Approver for their floor. Once given access:

• UW employees (including student workers) will use their Husky Card to access their approved locations
• Temporary employees, consultants, designated volunteers and others with a need for access will be issued a Temporary Access Card, which costs $25. 

Husky Cards and Temporary Access Cards grant access to the building during normal business hours (weekdays, 6 a.m. - 6 p.m.) For night, weekend or holiday access, please sign in with picture ID at the main lobby security desk. 

Access Approvers must maintain an active list of the employees they have granted access to and are responsible for distributing and tracking Temporary Access cards for UTemps, consultants, designated volunteers and contractors. If you are an Access Approver, you can grant, terminate or modify access using the UW Tower Access form. Note that you (Access Approvers) will need to provide the employee’s name, employee id number, the floor for the access request, the days and hours for access, and the date that access should be granted or terminated:

If you are not sure who your Access Approver is, or have questions about this process, please email UW Tower Operations. UW Tower Operations maintains an active list of Access Approvers for each floor/department and can let you know who will need to be contacted for access to be granted.

Closed-door room: this room layout can be configured as needed & has a max capacity of 32 people.

Auditorium

This room provides a fully integrated sound system & built-in data projector & can hold up to 207 people

Mezzanine

This is not a conference room, but a space where you can hold receptions, poster sessions etc. The mezzanine is included when renting the Auditorium

South Cafeteria

The south cafeteria is the bigger space that holds up to 300 people. when combined with the North cafeteria you can reach a capacity of 400 guest.

 

North Cafeteria

The north cafeteria is located right in front of the UW Tower cafe & has a max capacity of 100 people. When paired with the South Cafeteria you can have a max capacity of 400 Guest.

Please review our current rates if you are not a tenant within the building & tenant rates if you are hosting an event out of office hours, before requesting a booking. For all weekend events there is a requirement of paying for security costs and any after hours events at least 1 event staff member is required. For events that have alcohol/food present and/or over 50+ guests we can require 2 event staff members. Please review these policies if you wish to host an event within the UW Tower. 

Reservation policies

1. RESERVATIONS AT THE UW TOWER CAN ONLY BE MADE NO MORE THAN 1 YEAR IN ADVANCE (Example Shown Below)
                   Today is January 25th 2023 so reservations can only be made up to January 25th 2024.
   IF A RESERVATION IS MADE MORE THAN 1 YEAR IN ADVANCE WE WILL DECLINE, CANCEL, OR REMOVE THE RESERVATION(S) FROM RESOURCE SCHEDULER.
2. Reservation Spaces in the UW Tower are intended to be primarily for UW Tower tenants and priority will be given to these departmental groups.
3. Rental fees are always charged to non-Tower tenant event organizers.  
4. If you are a Tower tenant – fees aren’t applicable unless the reservation/event is outside of normal business hours (weekdays, 6 a.m. to 6 p.m.)
5. Reservations are first come, first served, and may not be booked more than one year in advance. If you do not receive a confirmation of your reservation, contact UW Tower Operations.
6. You may cancel your event any time up to a week before your event. Full charges will apply to any scheduled event canceled later than this. If you do not receive a confirmation of your cancellation, contact UW Tower Operations.
7. You are responsible for leaving your room in the state you found it, including returning furniture to its original configuration if you have moved it. Charges may apply if a room is not returned to its original state and/or if the room is left in disarray.
8. Audiovisual equipment is available to be checked out at no additional charge. Please request equipment when completing the reservations form.
9. Food is allowed in all conference rooms except the T-22 Boardroom and the T-22 Glass Conference Room. A custodial fee will apply to large (100+ people) events involving food. 

 

Proof of payment (in the form of a budget number) must be received no later than two weeks before the event takes place, or the event will be canceled. Tentative reservations may be made without a budget number. Here are the Acceptable Payments that the UW Tower will take.

The UW Tower Art Committee maintains the public art you see in the tower and arranges for performances from musicians and other artists. Our four exhibit areas are:

• Mezzanine Gallery (4th floor/Mezzanine adjacent to the auditorium)
• Cafe Art Wall (4th floor, Cafeteria North)
• Sky Bridge Gallery (2nd floor lobby between the Skybridge and Main Lobby)
• Fountain Gallery (2nd floor lobby facing the Tsutakawa fountain)

UW Tower tenants may reserve and check out the following equipment at no charge: projectors and screens, whiteboards and easels, microphones and speakers, podiums and an array of cables, adapters and power strips. Laptops are not available.

Small portable equipment must be signed for in person at the UW Tower Operations desk on T-22 and then returned the same day. If you need equipment for more than one day, you will need to check it out and return it at the beginning and end of each day. If there is no one at the T-22 Operations Desk, you may return equipment to the Security desk in the Main Lobby. Never leave equipment unattended at the Operations Desk.

Equipment may not leave the UW Tower grounds. If you need equipment elsewhere on campus or are looking to keep equipment overnight, Academic Technologies may be able to help.

You are generally responsible for picking up and setting up small audiovisual equipment on your own. To arrange for help setting up larger equipment, please schedule a walk-through of your event with UW Tower Operations ahead of time. We are also available to help people unfamiliar with audiovisual equipment figure out what they need and how to set it up.

To reserve audiovisual equipment or to request help, please email UW Tower Operations. 

Posters and flyers in public areas of the Tower must be approved first. Please read the guidelines below and then email uwtower@uw.edu to get your posting approved.

• All posters, flyers, temporary directional signs, announcements, etc. must be stamped by UW Tower Operations before being posted and then placed on designated bulletin boards, easels or other sign holders. Do NOT tape or tack postings directly on walls or windows. 
• Postings must be submitted by a UW department, employee or registered group (including student RSOs). Area arts organizations may also submit postings for approval.
• Please allow at least two days turnaround time for approval. Once your posters have been stamped, a member of UW Tower Operations will install them in 
• Political and commercial advertisements are not allowed in public areas of the Tower. One exception would be a UW registered group sponsoring a political event.
• Approved postings may stay up a maximum of one month or until after the promoted event has passed, whichever is sooner.
• Posters, flyers and banners are not allowed in the main Tower Lobby, however an easel-mounted welcome sign may be submitted for approval. 
• Banners are allowed in the cafeteria only. They may not be displayed on the skybridge, lobby walls or exterior walls.
• Aside from the monthly UW Tower newsletters, no postings are to be placed in elevators. 

Posting locations

Public bulletin boards: There are three large, glass-enclosed bulletin boards for tenant use on the C-4 level in the cafeteria entrance corridor. Access to these locked cases is available through uwtower@uw.edu. 

Department bulletin boards: Each department maintains its own bulletin board to post safety and union information as well as other topics of interest to that unit. Posting in these areas requires departmental approval.

Cafeteria: Approved banners for promotion of University and community events may be displayed in the cafeteria on C-4 in on either the long wall outside the Tower Café entrance or on the far southwest and far east walls of the large cafeteria seating area. 

Holiday decorations

Please be considerate of others that share your space and abide by the following safety regulations:

• Do not hang objects from the ceiling as they could hinder the operation of building life-safety systems.
• Do not use holiday lights or other decorations that require electrical power. Battery powered lights are allowed.
• Do not place weighted objects on top of shelves that could become fall hazards or projectiles in the event of an earthquake.
• Do not tape or place any items on windows as  even painter’s tape can damage the glass.

The UW Tower Fitness Center and Locker Rooms are located on the basement level of Buildings C and S, near the mail center. There is no charge to use these facilities, but neither room is staffed and access is limited to UW employees who work in the Tower. Assigned and unassigned lockers are available at no charge both inside and outside the locker rooms.

The Fitness Center is open from Monday-Friday, 6 a.m. to 6 p.m. Available equipment includes elliptical machines, treadmills, upper and lower body machines, bikes, stepping machines, free weights and yoga equipment. Cleaning spray and paper towels are provided. Please be considerate of others and wipe down equipment after use.

If you notice supplies are running low, or a machine seems to be malfunctioning, please contact UW Tower Operations at 206-685-5648 or by emailing uwtower@uw.edu. There is also an emergency phone in the room that connects directly to Tower Security in the event of a medical emergency.  

The men’s and women’s locker rooms include showers and both assigned and unassigned lockers. Access to the locker rooms is controlled by Husky Card. To request access to the locker rooms, please use this form:

Unassigned lockers: The grey lockers outside the locker rooms and the tall lockers inside the locker rooms can be used at any time without an assignment. You must supply your own locks. Share the space! Please only use the unassigned tall lockers while you are working out or showering. Locks left on lockers for more than 24 hours will be cut off and items removed. 

Assigned lockers: All small lockers inside the locker rooms and the purple and gold/rider lockers outside the locker rooms are assigned. You must supply your own locks. Due to high demand, these lockers must be used at least 2 days a week in order to retain your assignment. Failure to respond to regular emails from UW Tower Operations about your locker may lead to it being emptied and reassigned. To get added to the locker waiting list complete the locker room access request form or email uwtower@uw.edu and include your employee ID number and box number.

Baby changing stations are available in the men’s and women’s restrooms on the  Mezzanine level (4th floor), across from the UW Tower Auditorium. 

Lactation stations for visitors: There are two private, curtained-off areas located in the lounge area of one of the women’s restrooms on the Lobby Level. They do not require a key or reservation to use and come with access to power and nearby sinks. 

Directions: From the security desk near the skybridge (garage) exit, take a left and follow the hallway past the C-02 Plaza North & South Conference Rooms. The lactation areas are in the women’s room next to the drinking fountain at the end of hall.

Lactation stations for workers: Four private rooms are available on the Lobby Level for employees who regularly work at the UW Tower and wish to sign up for specific time slots in advance. Each room is lockable and includes a refrigerator, a comfortable chair, access to power and a sink. One of the four rooms also has a pump. 

Before receiving a key, each employee must fill out the UW Tower Lactation Station Agreement form. Please contact uwtower@uw.edu to inquire about availability.

How you receive letters, packages and other deliveries depends on how it is sent:

U.S. Postal Service: UW Mailing Services receives and distributes all U.S. Postal Service mail addressed to the University of Washington, including offices in the UW Tower. All UW offices have a six-digit box number, which is used instead of a street address. Instructions on how to address envelopes to the UW are at the UW Mailing Services website.

UPS, FedEX, DHL, etc.: Packages delivered by private companies are processed by UW Tower Mail & Receiving and then delivered to your office throughout the day. Items that arrive after 4 p.m. will be held at lobby security until the next day. People sending you packages should include BOTH the UW Tower street address of 4333 Brooklyn Ave NE and your UW box number. Note that the last four digits of the zip code are the same as the last four digits of your box number. Here is an example:

Trucks, furniture & other large deliveries: If you are awaiting a large shipment, you may use the street address of 1208 NE 43rd St., Seattle WA 98105 as a drop location. Please note this is NOT recognized by USPS as a valid mailing address.
 

UW Moving handles all UW department moves, big and small. Planning tips, billing information and a FAQ are all available online. They are very familiar with the UW Tower and will assist in making your move to, from or within the building safe and easy.

Freight or furniture may not be hauled on passenger elevators without permission from UW Tower Facilities. Temporary staging of furniture and/or equipment in public areas is not permitted. Only furniture that can be put in place at the time of the move-in should be brought to the site.

If you don’t use UW Moving, please make sure your contractors follow these moving procedures (pdf).

The UW Tower complex has limited electrical capacity due to the age of the facility. To avoid overloading the system, a circuit breaker failure and most importantly, to prevent fire in the workplace, do not bring personal household appliances to work. Restricted items include, but are not limited to: individual air purifiers, space heaters, fans, coffee makers, toasters, microwaves and refrigerators. 

Using electrical appliances not designed for commercial use can cause potential safety hazards, business interruptions, and damage to office equipment or property. Safety is the responsibility of every employee. Please help us to keep your work environment safe.

In some cases, personal desk lamps can be approved for use. If you would like to request permission to use a personal desk lamp, please email uwtower@uw.edu with a description. Also please tell us whether additional task lighting (such as under a shelf or bin) would take care of your need for extra lighting. Lamps that fail to meet the requirements below will not be approved.

Desk lamp requirements:

• Must have original tags from UL (Underwriters Laboratory Standards for Safety) or CSA (Canadian Standards Association for product testing)
• Line cords and plugs in good condition
• 60 watt maximum wattage on bulbs
• Limit of one additional desk lamp to a workspace
• No Halogen bulbs, floor lamps or combustible shades

Vistor Management is the UW Towers new method to get into  be a new way for guest to check in. This can be done upon entering the building or before arriving the building.
Before you can check in guest ahead of time you will need to create an account via using Visitor Management for the first time: (VM Employee Access)
When creating your account you will need to use your UWNetID email followed up with a password you setup.

Visitor Management can be used to check in large groups of visitors for reservations to reduce the check-in time at the main lobby entrance.

Visitor Management can also be accessed via FM System reservation system as shown on the picture above.
