Hybrid workspace scheduling

Does your department need help managing space in a hybrid workplace? Do you want to make it easy for team members to reserve a desk for the day or on a recurring basis?

UW Facilities is proud to announce a new desk and room management service for the UW community, based on the FM:Systems platform. Among the benefits for departments:

  • Dedicated support from UW Facilities staff

This is a recharge service. Rates are based on the number of desks and/or rooms tracked by the specific department. To learn more about the service and get an estimate, please email uwftech@uw.edu. 

Once your department has signed up for this tool, staff members will be able to use three different methods to view and manage work spaces.

Resource Scheduler

  1. View detailed information and images for available resources.
  2. Book recurring and highly customized reservations.
  3. Query for specific resource amenities such as TV display, docking station, sit/stand desk, etc.
  4. Manage user requests and reservations (Space administrators only).
  5. Access a variety of resource utilization reports.

MapView

  1. View available resources (desks, rooms, etc.) on a floor map.
  2. Use interactive floor plans to book and navigate to resources.
  3. See where other users are working when you make a reservation.
  4. Permanently assign desks to staff and manage reservations (Space administrators only).

Mobile application* available from Google Play and Apple's App Store.

  1. Make reservations on your phone through a mobile application.
  2. Make bookings using search or via a mapping interface.
  3. Easily check into upcoming reservations.

*Departments must be onboarded before individuals can access the service.

UW Facilities recharges for this service based on the number of desks and/or rooms a university department wishes to track in the system.
